Pre-Flight Essentials

File preparation errors cause production delays, quality compromises, and additional costs. Systematic preflight procedures prevent common issues ensuring smooth production and optimal output. This checklist addresses technical requirements for large format specific workflows.

Resolution and Scaling

☐ Images at final output size with appropriate DPI (100-150 DPI for distance viewing; 200+ DPI for close inspection)

☐ Vector graphics used for logos, text, and geometric elements

☐ No upsampling beyond 200% of original image size

☐ Raster effects (Photoshop filters) applied at final resolution

Color Management

☐ Color mode set to CMYK (not RGB) for standard printing

☐ Pantone spot colors specified for brand accuracy

☐ ICC profile embedded (ISO Coated v2, GRACoL, or printer-specific)

☐ Black text specified as 100K (not rich black) for sharpness

☐ Overprint settings verified for spot colors

Document Setup

☐ Final trim size specified correctly

☐ Bleed added (minimum 10mm, 50mm for banners with hems)

☐ Safe margin established (50-100mm from trim for critical elements)

☐ Artboard/canvas size includes bleed area

Typography

☐ All fonts converted to outlines/curves or embedded

☐ Minimum font sizes verified for legibility at viewing distance

☐ Text stroke weight appropriate for output size

☐ Spell check completed

Image Quality

☐ Linked images embedded or provided

☐ Image resolution verified at 100% zoom

☐ Compression artifacts checked (avoid multiple JPEG saves)

☐ Color corrections and retouching finalized

Finishing Specifications

☐ Grommet, hem, or fold locations marked on separate layer

☐ Cut lines clearly indicated (spot color named "CutContour" or "DieLine")

☐ Panel seams indicated for multi-section graphics

☐ Hardware mounting specifications noted

File Format and Submission

☐ High-resolution PDF/X-4 created (preferred format)

☐ Native files (AI, PSD, INDD) included for editing if needed

☐ Fonts packaged or outlined

☐ File named descriptively (Client_Project_Dimensions_Date)

☐ Compression appropriate (ZIP for multiple files; no excessive JPEG compression)

Proofing and Verification

☐ Hard copy proof printed at 100% scale (or reduced scale with noted ratio)

☐ Color proof approved under standardized lighting

☐ Client sign-off obtained before production

☐ Final file version clearly identified

Communication

☐ Material specified and confirmed with printer

☐ Finishing requirements (hems, grommets, lamination) documented

☐ Installation method and location communicated

☐ Delivery date and location confirmed

Common Errors to Avoid

❌ RGB files submitted without conversion

❌ Low-resolution web images used for large output

❌ Missing fonts causing substitution

❌ Insufficient bleed for finishing requirements

❌ Incorrect dimensions (cm vs inches)

❌ Compression artifacts in critical image areas
